STORE Store, requests, shop and library

Know what's
on the shelf.
Every hour.

Every packet of chalk, every kilo of sugar, every library book. Somaplus writes down what came in, what went out and who took it, so the count on your screen is the count on your shelves.

Four pages. One honest count.

The storekeeper, the bursar and the librarian each open their own page, and every page writes to the same records. Each person sees the pages for their role.

Requests

Asked. Approved. Handed out. Written down.

A teacher asks from the teacher app. The storekeeper hands it out in one tap. The count drops and the ledger gets a line that says what, how much, and to whom.

  • Requests from the office and the teacher app, in one list
  • Hand out or turn down, with the reason kept
  • Possible repeats flagged: same person, item and amount within ten minutes
  • Every movement listed, newest first

Running low? The director buys it.

The office asks, the director approves the price and orders it, the storekeeper receives the delivery. The count goes up and the buying price follows what the director paid.

Exact amounts

Half a kilo is half a kilo.

Kitchens hand out sugar by the kilo and paraffin by the litre. Somaplus keeps the decimal, so 2.5 kg taken is 2.5 kg gone, and the count still adds up at the end of term.

  • Quantities to the gram: 2.5 kg, 0.75 litres
  • You can't hand out more than is on the shelf
  • Plain messages: "Enter how much SUGAR to take."

School shop

Sold to a learner, paid, then handed over.

Place an order for a learner at the office, or let the parent order in the parent app. Pay by M‑Pesa prompt or at the desk. The item leaves the shelf only when it's handed over, so a failed payment never needs stock given back.

  • To hand over: paid, waiting to be collected
  • Stuck: prompts never answered or failed, nothing charged
  • Stop selling hides a product from parents
  • Sales and takings this term, by product

Library

Every book comes home, or it's paid for.

Lend a title to one learner or a whole class with a due date. Overdue books line up oldest first. A lost copy goes on that learner's fees at the book's price, and the parent sees it with the rest of the term's fees.

  • Copies owned, out now and on the shelf
  • Move a due date, or return several books together
  • Found it? The charge comes off. Or waive it
  • Books with no price are flagged, so a lost copy never charges nothing

A short list, getting shorter.

The dashboard's needs attention card shows only what is waiting today: orders to hand over, books to chase, shelves to count. Each line opens the page that fixes it. A perfect day shows nothing at all.
